• Greet and assist clients and visitors; support clients in completing intake forms.
• Manage client consultation appointments and efficiently coordinate attorneys’ schedules. Update consultation calendars in real-time and ensure related reports to ensure smooth consultation processes.
• Accurately enter and maintain client information, notes, and case records in legal case management systems. Support administrative tasks such as daily logs and summary reports, maintaining accurate and up-to-date client data.
• Provide support for attorneys in case and transaction management.
• Assist with preparation of presentations, checklists, and procedural guides for clients and internal use.

Required Qualifications

• A Bachelor’s degree or equivalent
• Minimum of 3 years of hands-on experience in a law firm or an equivalent environment
• Ability to provide professional and courteous client service at all times, exercising sound judgment, discretion and diplomacy
• Professional, flexible, and collaborative approach to working with attorneys, colleagues and clients
• Ability to work efficiently in a highly demanding environment while managing multiple priorities
• Ability to perform administrative responsibilities accurately and efficiently
• Proficiency in Microsoft Office and Google Suite
• Excellent written and verbal communication skills

Preferred Skills and Experience

• Demonstrated experience with legal document preparation, drafting, and case file management
• Working knowledge of e-filing systems (e.g., NYSCEF) and legal software such as Clio
• Prior experience as a legal assistant or paralegal in a law firm or professional environment
• Proficiency in another language
